Encore Asia delivers largest event to date the ISTH 2024 Congress in Bangkok

Showcasing Global Coordination and Innovation, Encore Asia Successfully Manages 179 Sessions for Over 3,800 International Participants

Encore Asia was engaged by the International Society on Thrombosis and Haemostasis (ISTH) to deliver their annual ISTH 2024 Congress, hosted in Bangkok, Thailand. This event is a premier international gathering of experts in thrombosis and haemostasis, featuring a wide range of scientific presentations, workshops, and networking opportunities aimed at advancing the understanding and treatment of blood disorders.

With over 3,800 participants from 40 countries attending across four days, this was the largest event Encore Asia has delivered to date.

Encore was responsible for the comprehensive delivery of all 179 events, including plenary sessions, state-of-the-art sessions, oral communication sessions, master classes, career development sessions, industry exhibitions, and ISTH Academy Live sessions to name a few.

As the main event producer, Encore liaised with the client, event sponsors, the venue, global Encore teams, and local vendors. Our responsibilities included developing AV and production requirements, coordinating with local suppliers, and ensuring seamless execution.

Encore designed a striking stage set for the main plenary sessions, featuring a Scenic Panel backdrop lit with coloured lighting and beautiful yellow glowing lanterns hanging from the ceiling. This simple yet striking design provided the perfect backdrop for the speakers. Additionally, our global coordination capabilities allowed us to deliver a consistent standard of service across all international events for ISTH. Working closely with ISTH and over 27 Programme Sponsors, each with distinct AV and branding requirements, we delivered customised solutions that met and exceeded expectations.

Challenges and Solutions:

• Worldwide Coordination: Coordinating with multiple international stakeholders, managing time zone differences, and ensuring precise communication posed significant challenges. We overcame these by leveraging our extensive global network, with Encore Asia serving as the local point of contact for the client, sponsors, US team, and local Thai suppliers. This ensured consistent communication and efficient problem-solving. In the end, 14 of Encore’s production directors, creatives and technical directors from the United States, United Kingdom, Canada and Thailand oversaw the event with local technicians and crew nearing 100 people.
  
  
• Session Management: Managing 179 concurrent sessions across various rooms with changing room designs and AV needs was a complex task. Encore utilised Content1 as the content management system, managed remotely by the US team. This system was crucial for handling speaker presentations, recording, and editing sessions, ensuring efficient content management.
  
  
• Equipment Sourcing and Management: Sourcing and managing equipment, including special orders from Programme Sponsors and decorative items, presented logistical challenges. Encore coordinated with local suppliers and meticulously managed logistics, even donating decorative items such as specially made lanterns to local religious organisations. Encore are continuously looking for ways we can play our part in being a sustainable, socially responsible events company.
  
  
• Hybrid Event Execution: Incorporating an online component with live and on-demand sessions available for 30 days added another layer of complexity. We ensured robust streaming and recording infrastructure to provide a seamless hybrid experience, expanding the event’s reach and accessibility.
