Encore Transforms The Westin Singapore with a Dazzling Display of Innovation, Wellness, and Event Excellence.

Brief

The Westin Singapore aimed to showcase its premium event capabilities alongside Encore’s production expertise in a unique client appreciation event. As Encore has been the in-house AV provider for The Westin Singapore since December 2023, this event served as a strategic opportunity to highlight this partnership and demonstrate Encore’s capabilities to over 100 of Singapore’s top event organisers and The Westin Singapore’s clients. The brief was open, with a focus on creating an unforgettable experience that would “Light Up Live” and provide a comprehensive production solution.

Encore’s Proposed Solution

To achieve the desired impact, Encore developed a complete production solution that spanned audio, visual, lighting, and styling. The design challenge was to transform the familiar Grand Ballroom into a dynamic and engaging space that felt entirely new to regular clients and local event professionals who were well-acquainted with the venue.

The event was strategically divided into four zones, each offering a unique experience:

  • Zone 1 (Foyer): Upon arrival, guests were welcomed at a registration booth located in the Concourse area. The foyer featured six booths representing Westin’s Six Pillars of Well Being – Feel Well, Move Well, Eat Well, Work Well, Sleep Well, Play Well. This initial space set the tone for the event, allowing guests to engage with the Westin brand and its wellness initiatives.
 
  • Zones 2 & 3 (Ballroom 1) and Zone 4 (Ballroom 2): Encore draped the entire ballroom to alter the look and feel, creating a seamless transition between the foyer and main event areas. Two large LED screens (9.5m x 5m and 6m x 3m) were installed to display dynamic content and enhance the visual impact. The use of 11 pixel totems further defined the space and guided guests through the event zones. The lighting design was carefully coordinated to match the colour scheme of the content in each zone, providing a cohesive and visually stunning environment.

Challenges and Solutions

One of the primary challenges was to reinvent the ballroom’s appearance to surprise and engage an audience already familiar with the venue. The solution required creative thinking and meticulous planning. Encore’s team collaborated closely with Westin’s in-house team and other stakeholders to devise a concept that completely transformed the space.

Another challenge was managing the involvement of multiple stakeholders in the event’s design and planning phases, which required effective communication and alignment of visions. Encore leveraged its experience and expertise in event production to ensure that all parties were aligned and that the final execution met the client’s objectives.

Given the significant changes to the ballroom’s setup, the team also had to navigate logistical constraints, such as tight turnaround times for setup and teardown. Encore’s ability to adapt quickly and work efficiently under pressure was crucial in delivering a flawless event.

 

The Result

The Westin Singapore x Encore Client Appreciation Event was a resounding success, exceeding expectations and leaving a lasting impression on all attendees. The transformation of the ballroom was so effective that even the in-house team felt “lost” in their familiar space—a testament to the ingenuity and creativity of Encore’s design.

The event highlighted Encore’s breadth of service, cutting-edge technology, and commitment to exceptional service excellence. The use of strategic AV solutions, including engaging visual content and dynamic lighting, captivated guests and underscored Encore’s production capabilities.

Guest feedback was overwhelmingly positive, with many expressing admiration for the event’s execution and the seamless collaboration between The Westin Singapore and Encore. The event not only strengthened existing client relationships but also generated new business inquiries, affirming Encore’s position as a leader in event production.

Many people were involved in making this event happen—from the creative team to the operations team at the warehouse to the AV techs working long hours for setup, show, and teardown. Without any of them, this event would not have been a success.
